The Concierge will assist the Office Manager with daily operations and administrative duties.S/he will be an active resource to lend support with answering internal and external customers’ questions, assist with requests, and oversee a top notch office appearance.Report to Office Manager with dotted line on local accounts to New York Regional Manager.

Guest and Customer Service/Account relationship

  • Greet all guests and ensure everything is taken care of during their stay (ID badge/Hotel/car/desk/Internet connection, etc.)
  • Work with meeting organizers to have list of attendees and photographs of VIPs to welcome by name on entry (white glove service)
  • Be aware of daily functions and events
  • Unpack and stock bar product orders in a timely and efficient manner
  • Assist in organizing all in-office events with outside parties and internal staff
  • Order catering for events
  • Maintain office bar and office Space
  • Provide white glove service for a premium brand portfolio; elevate the Edrington Brand to an experience with local restaurants, hotels, guests and internal customers
  • Build relationships with local accounts through NYC team and manage all NYC dining  arrangements- work with local Northeast Sales team members to know where our brands are in on premise and make reservations under Edrington for employees, visitors and others as required
  • Emulate an Edrington Brand Ambassador
  • Build relationship with local hotels for outside guests

Mailroom

  • Manage outgoing FedEx and arrange for courier services to deliver packages
  • Trouble shoot any shipping issues with customer service. Post shipping labels on packages; complete shipping performa forms for customs
  • Deliver mail daily and pick up outgoing FedEx packages or mail
  • Manage postage machine, update postal rates, weigh outgoing mail and work with vendor when there are issues. Purchase postage and ensure postage costs are always refilled in meter
  • Maintain adequate mailroom supplies, keep mailroom and print areas stocked and organized
  • Order Staples supplies, keep office supply closet stocked; order mailroom supplies, boxes, tape, bubble wrap etc.
  • Provide support in picking/packing POS promotional material. Work with brand teams on maintaining proper storage of POS items
  • Support periodical inventory count of liquor inventory
  • Assist in filing and archiving documents during office purges
  • Perform data entry activities

Kitchen duties

  • Manage/organize 2 kitchens, order kitchen supplies, refill condiments/sodas and maintain orderly kitchens throughout the day
  • Troubleshoot any issues with kitchen appliances and coffee machines
  • Troubleshoot any items that are broken or need replacing
  • Help to maintain a tidy office, manage conference rooms and reach out to teams that need to assist in cleanups

Storage & Inventory management

  • Provide support in picking/packing POS promotional material. Work with brand teams on maintaining proper storage of POS items
  • Support periodical inventory count of liquor inventory
  • Assist in filing and archiving documents during office purges
  • Perform data entry activities

Perform required ad hoc office duties

Knowledge, Skills & Core Competencies Required

  • Bachelor's degree or equivalent experience
  • 2-3 years of experience in hospitality preferred
  • Strong communication skills
  • Helpful, polite, professional and efficient, great manners
  • Patient and thorough
  • Proactive, willing and positive attitude
  • Able to lift and move heavy boxes/shipments
  • The ability to deal with different people and cultures
