An exciting opportunity has arisen due to an existing role becoming vacant. Working closely with the Executive Assistants, Office Coordinators and Brands teams, this role will co-ordinate the setup of event facilities including bar staff, food, furniture and housekeeping as well as maintaining an overall calendar of events. You will be part of a busy team working to tight deadlines, therefore it is essential that you can work well within a team environment.

 

Reporting to the Director of Finance Planning and Analysis & Corporate Strategy and Director of Treasury, duties and responsibilities of this role include:

 

  • Providing administrative support to the Finance Leadership Team as well as their reports:

    • Arranging meetings, helping prioritise key meetings, tasks and resolving diary conflicts

    • Organising travel arrangements using Concur online booking system

    • Assistance with daily administrative tasks and other ad hoc requests as they arise

  • Working with all Executive Assistants and brand teams to ensure event requirements are facilitated and the appropriate resources acquired

  • Diary Management – liaising with Office Co-ordinators to manage room bookings

  • Ensure appropriate rooms are utilised to meet the requirements of the host(s)

  • Liaise with external contractors and suppliers to ensure efficient provision of required resources and services.This includes the catering, furniture supplies, bar staff and housekeeping

     

To be considered for this vacancy you must have excellent communication skills as the role will interface with multiple stakeholders both internally and externally, the ability to make quick and informed decisions and you should be able to use your initiative to manage shifting priorities and developments out with your control. The ideal candidate will be outgoing and confident, find it easy to talk to people and have the ability to build and maintain cross functional and cross cultural relationships.
